2027 Festival Street Application

Terms & Conditions

DEADLINE: WEDNESDAY, FEBRUARY 17, 2027

Thank you for your interest in becoming a concession vendor at the Festival at Sandpoint! We’re excited to learn more about your business and the food you would bring to our Summer Concert Series.

Everyone is welcome to apply. We value the variety, quality, and local character that our food vendors bring to the Festival and look forward to reviewing your application.

Festival Street is located in Lakeview Park, behind the Memorial Field grandstands. The area will maintain the same setup used during previous concert seasons and will remain fenced as part of the Festival venue. Access to Festival Street is limited to ticketed concertgoers inside the venue.

The Festival at Sandpoint is a cashless venue. For the 2027 concert season, all food vendor transactions will be processed through Square. Each vendor is responsible for providing their own compatible Square POS hardware and equipment. The Festival at Sandpoint will:

  • Provide each selected vendor with a Square storefront.

  • Provide on-site technical support during performances.

  • Retain applicable taxes and payment processing fees.

Submitting an application does not guarantee selection as a Festival food vendor. Each year, our vendor committee reviews all complete applications using the same selection criteria, including:

  • Food product and menu offerings

  • Pricing and value

  • Previous food service or event experience

  • Overall presentation and image

  • Fit with the Festival’s guest experience

If you are not selected in a particular year, we encourage you to apply again in future seasons. Our vendor needs and offerings change from year to year, and we welcome returning applicants.

Please read this application packet carefully before submitting your application. If you have questions or need clarification, please feel free to contact us.

Once you have reviewed the information, complete and submit the online application in full. The Festival at Sandpoint will only consider complete online applications.

Vendor selections will be made, and applicants notified no later than Friday, March 5, 2027.

Terms & Conditions 2027

VENDOR deposit for the 2027 FESTIVAL is $1,000.00, due on or before April 16, 2027, to guarantee VENDOR participation.

Fifty percent (50%) of the deposit will be refunded after fulfilling your Festival Street duties and agreement. Failure to fulfill these duties and agreements may result in the FESTIVAL retaining the full VENDOR deposit, termination of VENDOR agreement, and a minimum one-year suspension from the FESTIVAL. VENDOR understands that FESTIVAL will be responsible for collecting processing fee and taxes on all Festival Street transactions processed through the FESTIVAL Square accounts.

VENDOR must have at least one official representative from their booth present for the MANDATORY VENDOR MEETING & TRAINING on MAY 26, 2027.

This will be the only meeting before the Festival at Sandpoint 2027 Summer Concert Series. Failure to attend this meeting may result in the termination of VENDOR agreement and retention of the full VENDOR deposit.

The FESTIVAL will process detailed financial reports to provide each VENDOR for the previous week’s sales. VENDOR gross payment is one hundred percent (100%) of all tips earned, and eighty percent (80%) of net sales. Net sales are calculated by gross sales less processing fee, Idaho State sales tax, and any other outstanding equipment, service, or product charges provided by FESTIVAL. Payments will be solely payable through an automated clearing house (ACH) twice during the VENDOR agreement. The FESTIVAL will collect twenty percent (20%) of VENDOR net sales. The VENDOR understands that no customer transaction should be made to the VENDOR directly. All transactions must be made through the FESTIVAL-provided transactional platform. The FESTIVAL reserves the right to exclude comps and coupons from all Festival Street transactions.

Financial reports will be provided to VENDOR by 8 PM on Tuesday following the performances from the prior week. The FESTIVAL will submit all ACH payments to their bank by 5 PM on Tuesday following the performances for each week. The VENDOR should receive their ACH deposit by 5 PM on Wednesday following the performances each week; however, the FESTIVAL does not have control over any banking or deposit delays caused by the VENDOR’s bank.

VENDOR is required to produce evidence of liability insurance for a minimum amount of one million dollars ($1,000,000), naming Selkirk Sound Collective, 525 Pine St, Sandpoint, ID 83864, as additional insured. A copy of the VENDOR’S certificate of insurance must be provided to the FESTIVAL by May 15, 2027. If your application is selected, please let Veronica Knowlton know if you need help or resources for coverage, veronica@festivalatsandpoint.com.

VENDOR agrees to set up the booth by 12 noon on Thursday, July 29, 2027, and must be in full operation by 4:00 pm.

All vendor equipment must be removed from the venue by 12 noon on Monday, August 9, 2027.

VENDOR understands that this is an outdoor, open-air environment, and this is a “rain or shine” agreement.  No provisions for inclement weather will be provided, and no tarps, umbrellas, or blinds will be permitted unless previously approved in writing by the FESTIVAL.

VENDOR understands that its purpose is to provide a service and/or product to customers of the FESTIVAL and is not to be used as free admittance to concerts. NO CONCERT SEATING OR BLANKET PLACEMENT BY VENDORS OR STAFF IS ALLOWED.

VENDOR is required to be fully operational no less than thirty (30) minutes prior to gates opening for guest admission, for each performance, including the family matinee show, if applicable. Final performance dates and times will be provided at the mandatory vendor meeting.

Booth personnel must remain in the booth in accordance with the master series venue schedule for the duration of the VENDOR agreement. Failure to comply with this regulation may result in disciplinary action, up to and including immediate expulsion of the offending party, not receiving the remainder of the deposit, closure of the booth, and suspension from future Festival seasons.

VENDOR understands that booth location will be selected by the FESTIVAL. Locations will be determined by anticipated traffic flow and utility needs.

The FESTIVAL will provide faucet water at no extra cost. VENDOR will be responsible for removing all waste from their booth at the end of each concert. The FESTIVAL Green Team will haul all trash, compost, and recycling placed outside the front of your booth each night by 10:30 pm. VENDORS will be responsible for disposing of all wastewater in the approved location on Festival Street.

The FESTIVAL will provide four (4) 20-amp circuits, 1800 watts per circuit hook-ups per booth. Additional circuits will be added at $175.00 per circuit to the VENDOR account and deducted from gross sales, prior to FESTIVAL split. Electricity is at a premium. All specifications must be approved in writing by the FESTIVAL before this agreement is finalized. FESTIVAL is not responsible for providing electrical connections not specified in writing.

No booths, trailers, or carts, other than those provided by the FESTIVAL, will be accepted without prior written approval by the FESTIVAL.

VENDOR is required to attach a copy of the proposed menu and prices to the application for approval by FESTIVAL. No items other than those approved by the FESTIVAL will be sold. Any substitutions must be proposed and approved in writing before the Festival begins. The FESTIVAL wants to avoid the duplication of menus. The FESTIVAL reserves the right to edit menu submissions to better serve the needs of our guests. VENDOR will be contacted if the application menu has been altered and will need to submit a replacement item. All beverage products must be from the selections offered by our sponsored beverage provider, including juices, iced teas, and waters. Beverages must be purchased through the FESTIVAL and sold at the stated prices. Ice will also be available for purchase through the FESTIVAL. Vendors shall offer a minimum of four (4) beverage options with at least one bottled water option for purchase.

There will be no selling of products other than those on your pre-approved menu and no commercial promotion of your organization. There will be no sales of any kind on VENDOR’s transactional platforms. All sales will be conducted through FESTIVAL’s transactional platforms with VENDOR logged into the corresponding storefront for the duration of the VENDOR agreement.

VENDOR agrees to supply FESTIVAL with a list of personnel staffing VENDOR’S booth for each night. VENDOR is allowed a maximum staff of six (6) per night. The list of your personnel needs to be electronically submitted through online Volunteer Management software by 12:00 pm on Monday, July 26, 2027. VENDOR list may be amended as necessary but is not to exceed the maximum number of six (6) workers

Festival Street is a non-smoking area. This includes behind all Festival Street booths. VENDOR staff and personnel must follow FESTIVAL’s code of conduct. All staff, personnel, and volunteers are subject to search upon venue entry.

VENDOR understands that this application is for the 2027 season only, and voids all previous rules and regulations, and has no bearing nor implies future VENDOR selection, and pricing structures.

The FESTIVAL shall have the absolute right and sole discretionary power to interpret, alter, add, cancel, relax, or vary any of the terms, conditions, or standards in individual cases. Any violation of FESTIVAL STREET policies will affect your booth in the future.

The mandatory uniform for all workers is a FESTIVAL STREET T-shirt (more details upon acceptance). VENDOR staff will not be allowed to work out of uniform.
